Privacy, Personal Information
WAWPI Privacy Policy applies to the collection, storage and information gathering of materials, "Sensitive Information" and or "Personal Information" relating to membership, participation, opinions and health factors, received in the delivery of their events and activities.
Privacy Principles
Collection
Collection and gathering of information from sources, where the individual is identifiable, or unidentifiable, sought after, acquired by accident, received directly from the individual to whom it relates or received from a third party.
WAWPI and its Associated and Affiliated Bodies will only collect personal information that is necessary for one or more of its functions or activities. Information will be collected by lawful and fair means and will not be unreasonably intrusive. At or before the time of collection WAWPI will take reasonable steps to ensure that the individual is aware of:
- the organisation's identity and how to contact it;
- the individual's right of access to the information;
- the purposes for which the information is collected;
- organisations who are usually given the information;
- any law requiring collection of the information; and
- any consequences for the individual if the information is not provided.
If it is reasonable and practicable to do so, WAWPI will collect personal information about an individual only from that individual. If personal information is collected from a third party, reasonable steps would be taken to ensure the information was disclosed to the individual through that third party.
Use and Disclosure
WAWPI will only use and or disclose personal information for the "primary purpose" for which it is collected - ie. the main reason an individual gives an organisation information.
WAWPI may also use and disclose information for "secondary purposes" where the secondary purpose is related to the primary purpose and is within the individual's reasonable expectations, of WAWPI and its stakeholders. (Where the information is sensitive information the secondary purpose must be directly related to the primary purpose.)
Data Quality
WAWPI will take reasonable steps to ensure that information they collect, use and disclose is:
- accurate, complete and up to date/current.
Data Security
WAWPI will take reasonable steps to protect the personal information they hold from misuse, loss, unauthorised access, modification or disclosure.
WAWPI uses prudent and well-known business information management strategies,
- physical security (locks, alarm systems, access limitations, etc.);
- computer network access security (passwords, firewalls, databases on stand alone PCs); and
- personnel security (personnel training, staff awareness, confidentiality contracts).
WAWPI will take reasonable steps to destroy or permanently de-identify personal information if it is no longer needed for use in the presentation of it's activities.
Openness
WAWPI Privacy Policy will be documented and will be available to anyone who asks for it. WAWPI will also provide further more detailed information about their personal information management practices if required.
Access and Correction
Individuals have the right to access all the personal information that an organisation holds on them, although there may be exceptions to this point. WAWPI will not allow access if, for instance:
- it would be a threat to life, the request is frivolous or vexatious, unlawful, disclosure would affect privacy of others or disclosure would prejudice negotiations.
